Manual for tourism providers

The instructions below is done as a guide for the owner, manager or administrator of the company providing tourism services, which makes the task of updating the descriptions of the property, change pictures, update rates and general details of the services offer.

For reservation management functions, management and monitoring of passengers booking, consult the "User Manual receptionist" in this section of manuals.

With the levels of user privilege property manager, will have enabled all the buttons "toolbar" of Paxsoft, however, managing all the buttons requires advanced knowledge of the system, so not all will be explained functions, but those necessary to carry out the actions named in the beginning.

Now if we go on:

Login to make a user "owner or property manager" in the top of the screen is the "toolbar" of the system:

Where the first row of buttons (1-12) corresponds to users' receptionist or tour operator, for what concerns us now we will focus on the "Property admin." (13), which is located on the second Row:

Property Admin

This button brings us to the screen where the functions are configuration A) Rooms (rooms) to edit photos, details and room capacity, B) tariffs (rates) the amount of tariffs and description, C) Rm features (characteristics of the rooms) the nature of the services they offer rooms and D) Property (ownership) to modify general descriptions, details, address, photo and image of the property.

The screen shows the system when we click on the button Property Admin. s and looks like this:

Where the functions A, B, C, D correspond to the tabs at the top of the screen. To move from one to another tab of the different functions just go clicking on which you want to work.

Now consider the possibilities of each of the 4 tabs, one by one:

A) Rooms (rooms):

This tab displays a list of rooms created for the property, which indicates the type of room (Type), the name (Name), the number (Number), floor (Floor), access to disabled people (Disabled acces ?), for maximum guest room (Max people), if permitted smoking (Smoking) and the image of each room with the option to change it up a new photo (Upload Image).

The two most important fields in this display are the type of room (Type) and the Maximum guests per room (Max. People). That along with the result of setting the rates, gives information to the system during the reservation process to know what rates should provide for each room and define how many guests can be admitted into a room by calculating the maximum amount available for rooms in a property on a certain date.

It is important to consider the data that fill in these fields when setting rates, because it is based on this information to establish the relationship between rates and rooms and availability later in the setting of tariffs will see this look in more detail.

Most of the fields here are free, where you can put anything that suits your needs.

After you are finished making any changes remember to click on the Save button To save your changes or Cancel To exit without saving changes

B) Tariffs (Rates)

It leads to a screen that shows the different rates established for the property, which details what type of room to apply, the name and the period of validity of the tariff, the price per person per night, minimum and maximum amount nights they apply, the minimum and maximum number of passengers who can enjoy the fare, if you apply for weekends, and finally if the rate applies only for weekends.

To create a new rate we click on the New button to modify an existing one we click on Edit Item, or clone an existing one to change only the amount, description, type of room that applies or any other details we will either Item Clone of these three buttons directs us to a template like this:

To take an example to see it more easily:

Assume that we will create a half-board rate including dinner, breakfast and room included, which is valid from the date 01/06/08 to 01/06/09, for the room type D / B, which has a cost $ 60 per person per night, to apply for weekends and is not exclusively for weekends:

Step One: Fill the Tariff Title field with the name that will fare in our case might be: "Half Board".

Second step: Fill in the Description field, which will detail which includes the fee and any other specification that want to do about, say that apart from meals and lodging for our price includes a tour, is in this area where we specify, could use a text like this:

"Includes: Hotel accommodations with private bath & A / C, dinner, breakfast & tour ..."

The description will detail in this part that the customer can choose when to be reserved, so it is important to have the information clearly, accurately and completely.

Step Three: Specify what the amount to charge per night per person as appropriate, for example:

$ 60

Step Four: Narrow the time period in which we want the fare is valid, in other words the current season will be the fare, marking down in the respective calendar start date (Valid from:) and so the Validity (Valid to:) of the tariff, in the case of our example for doing this, start date: 01 June, 2.008, and for the end: June 01, 2.009.

Step Five: You specify the minimum and maximum rate applicable for the nights and the minimum and maximum guests can enjoy the reservation fee.

Step Six: Define the room / property type (type of property / room), this part of the process is crucial, because according to the information to be marked in this box will cross to information to know which rooms the fee will apply appropriate, so be sure that the applied rate is fixed for the type of room you want, in the case of our example, you must have created at least a double room (D / B), for then at this moment are setting the price, can make it valid for that type of room, ie in this box for us to make D / B.

Step Seven: You should also be given to the Ignore box pppn (Ignore price per person per night), you have two options: yes / no. If you want the fare is charged per person per night, then you must make NO, now if you just want to charge for the room per night, then check YES. In the case of our example mark not, which means going to charge $ 60 to each passenger per night stay.

Eighth step: this step and the next is to determine if the rate is applicable as well or just for weekends, or if it is definitely not valid for weekends, first box is the weekends allow (allow weekends) If you want the fare is valid then check YES, if not to the contrary validity of this rate for weekends then check NO. For our example, the fee applies to weekends, so I'll mark YES

Ninth step: this last box allows you to define whether the rate you are setting is reserved for weekends, for example, our rate did not want it to be exclusive to weekend, so we marked NO, as well as being valid for weekends (eighth step), we also want to apply for other days of the week.

C) Rm features (characteristics of the rooms)

Through this tab, you can add specific services available rooms, such as private bathroom, air conditioning, safe, and so on.

You click New and then enter the service you want to include in the rooms, then click on Save.

Once done, we go to the Rooms tab and click Edit Item for each of the rooms you want to incorporate services, marked to be included in each room and click Save. This will appear automatically reflected to the room at the time of booking.

D) Property (Property Features)

In this tab we went to the screen where you can change the property and the descriptive texts, services offered and the image available to the property.

The first 10 rows are for entering details of the property address, phone, fax, postal mail to you want to send emails automatically upon receipt of a reservation.

Then there is a box with a dropdown menu to indicate the stars of the property.

If you have the coordinates, or have a web link to a map of the location of your property is in the boxes below where it should mark it.

Below Property features section with a series icons markable boxes that detail the services offered by your property.

The next field is called Property description where you can create or edit the descriptive text that introduces his property.

Then there is the camp check-in times, which may be specified or modify the times of entry and departure of guests from your property.

Now find the field where you can edit a text or information about the tours, excursions or activities that can offer from their property.

Driving directions field, refers to the reference direction where passengers will be welcomed, either on the same property, terminal or the site of your choice.

Airports is to detail the direction of the departing airport and the nearest property to which passengers can reach.

In Other transports can provide information on other ways to reach the property.

Last but not least field is Pollici & Disclaimers to specify the conditions of hiring their services.

The last option on this screen achieves is to upload new photos or change already has on, click on the Browse ... button specifies the location of origin of the image you want to upload and click on Upload Image.

It is important to remember to click the Save button (save), so that once we have done all the modifications are duly registered.
